A Message from Past President Lori Kalman:
Dear Club Members, Another club year is coming to a close, which means we are ramping up for a whole new fresh start with fresh ideas and input from all of our wonderful club members. What an amazing year we’ve had with all our wonderful volunteers. Donating your time and energy as well as being a busy Mother of Multiples is not something that should be unnoticed.
Every month we print their names in the corner of the newsletter [newsletter], some of you receive it by mail [editor] others by email [email editor] and every month they provide you with an evening out [1st VP], sometimes with a speaker [program], good food, raffle tickets for charities and genuine hospitality [hospitality]. Every couple of months they provide you with a “get acquainted tea” [membership] or an “over 40’s” group [over 40’s].
Every day (it seems) we update you on needs or wants in the club or questions from other members if you are receiving our emails [email editor]. Once a year you are invited to attend our amazing and outstanding Mother’s Day Brunch [2nd VP’s]. All of this couldn’t come about without the efforts of our fabulous board of directors [President, 1st VP’s, 2nd VP’s, Secretary, Treasurer].
If you are really fortunate and make really great friends in the club, as I have, you will have the most amazing playgroup [playgroup coordinator]. People that you not only play with, but also lean on, thanks girls! Some of the many jobs that people hold in the club go “unnoticed”, but they are very, very much necessary to keep our wonderful club going. Thank you all for holding a job this year and hopefully we’ll see you signing up for another job in the coming year.
I’m telling you all this, because I think that we can find a job where you will fit into our club. There are so many positions and duties, and even if you can only donate a small amount of time each month, we can work with you to put you into a position that will accommodate your lifestyle and allow the club to function at it’s “tip top” best. Below is a listing of the jobs that we are looking to fill for the coming year and starting in March, April, and May the job book will be circulated at the meeting so that you may fill in your name next to a specific job title that you feel you’d like to take on.
President: Responsible for overseeing the club in general. Making sure that the other jobs are being handled, finding replacements when members need to drop out of a job. Presiding over the board and general meetings, as well as trying to attend as many social functions as possible.
1st VP: Arranges monthly meeting sites (homes, restaurants or halls) for both the board and general meetings. Chooses menus and coordinates the food for the general meetings. Submits information to the bulletin editor each month. Also assumes presidential duties in case of absence or disability of the president.
2nd VP: Involves fund raising. Coordinates and plans our two major fundraisers each year. (Photo fundraiser and mothers day brunch [MDB]. They plan the location, meal, and raffle items. Other additional smaller fundraisers can be done such as funderfull books, zany brainy days, etc. May get help from Social on planning location of the Mothers Day brunch. Submits monthly information to the bulletin editor.
Treasurer: Receives the financial records of the club. Collects money at the general meetings and events and receives all money belonging to the club. Keeps regular records of receipts and expenditures. Submits a monthly report to the bulletin editor.
Treasurer’s assistant: Helps at the general meetings and events by keeping track of attendance, passing out nametags, and keeps running total of money spent.
Secretary: Keeps minutes at the general and board meetings. Supplies them to the president and the bulletin editor each month. Keeps a copy of the by-laws and updates with appropriate corrections. Keeps roster on database and updates as needed (with webmaster).
Editor: Collects information by the 3rd Tuesday of the month from members and prospectives. Organizes and types the monthly bulletin and has it ready for the copy editor by the weekend before the 4th Tuesday of the month.
Copy editor: Gets the bulletin by the weekend of the 4th Tuesday of the month. Makes the appropriate number of copies, puts on labels and stamps and then mails to the general membership and prospectives by the 4th Tuesday of the month. (Prospective names are given to the copy editor by the membership people).
E-mail editor: Receives the bulletin from the editor ready to disperse to the email lists. One list for prospectives, one for members bulletin only, and the last for members with other information. Receives emails from members and prospectives, SCMOTC, NOMOTC, recall notices, and other items, and sends them to the email addresses on her lists.
Web Master: Maintains website. Makes adjustments and additions to website as needed. Posts the bulletin monthly, updates roster (with the secretary), manages the message board, update links for the advertisers for the Mothers Day Brunch.
Social: Plans and coordinates the clubs various social events. Committees can be formed. Usual events are summer family picnic or couples summer party, Halloween party, December holiday party, spring fling, skate date and group tickets to events. May work with membership to help in the Get Acquainted Teas or the Mothers Day brunch as needed. The social chair would oversee to be sure the event is progressing properly. Attending the events making sure the committee is taking care of necessary details. Puts information in bulletin as needed.
Program: Sets up speakers for various meetings. Includes contacting the speaker giving details regarding the club and the meeting. Beyond speakers, program comes up with other ideas for meetings such as games, match the munchkins, etc. Gives info to 1st VP.
Membership: Fielding calls from prospective MOMs, telling them about our club, calling them each month about meetings, writing up their births for the bulletin, adding/deleting prospectives from the mailing list (copy editor and email editor). Keeps a record of each member as they join, obtaining information from the treasurer as to who has paid. Puts information in bulletin regarding membership beginning in February. Also entails putting together the get acquainted teas 3-4 times per year. (Can get help from Social).
Sunshine: Send birthday cards to all members. Send 1st birthday cards to multiples. Send congratulations cards to prospectives. When members are in need of a little “sunshine” in their lives they arrange to send a card, meal, script, or whatever other help is deemed appropriate. Parliamentarian: Generally the outgoing president. Coordinates job campaign, voting in May, and installation meeting.
Philanthropic: Researches causes for the monthly charity can, as well as delivery of the money. Researches other worthy causes that come to our attention to see if they are appropriate for our club to donate to or do fundraising for. Posts monthly updates in the bulletin and keeps a running tally of money donated.
Big/Little Sister: Gets new members from the treasurer and matches them up with volunteer veteran members. Gives the newer member someone they can call for advice, questions, or just someone to listen.
Special needs coordinator: Assists members with special needs children (i.e. developmental delays, autism, CP) in locating sources for help such as support groups, names of doctors, etc…
Talent liaison: Liaison between members, prospectives and the industry if desired.
Resource book: Collects information and compiles it into a book that is brought to the meetings and teas. Items can be checked out or looked at during meetings. Publicity: Runs ads as necessary for the club. Puts out brochures at doctor’s offices and hospitals with club contact information. If an event were such that we wish to alert any media to the event, they would handle such communication.
Hospitality: At the general meetings they circulate through the crowd selling raffle tickets. Their purpose is also to be a ‘greeter’ welcoming the members and prospectives.
Badges: Takes orders for badges, submits to the printer, picks up new badges and coordinates getting them to the member who ordered them.
Playgroups: Helps members hook up with other members with multiples of similar age. Helps them with setting up get-togethers. Also may plan outings for the club such as days to the park, zoo, or indoor play place.
Halloween costumes: Brings our collection of Halloween costumes to the August, September, and October meeting so that members can rent them for a small fee. Also collects gently used costumes members donate for future costume rentals. Puts announcement in bulletin as needed.
Preemie closet: Collects preemie clothes from donations. Works with membership to lend out clothes to those needing small garments. Maintains lending log and retrieves clothes.
Librarian: Keeps a list and stores the books and tapes our club has in its library. Is in charge of bringing the books to the meetings and teas and controls the circulation of the materials.
Historian/Photographer/Scrapbook: Responsible for taking pictures at our events. Documenting what took place and putting the pictures into an album or scrapbook.
State/National rep: Attends as many of the 4 SCMOTC meetings per year as possible. (Two of these meetings are at the State workshop and convention). Brings the information back to the club and announces information at meetings and puts information into our bulletin.
Over 40s: Coordinates and arranges a location for get togethers 3 or 4 times per year for members interested in chatting about the joys and issues involved in being a MOM over 40.
Working MOMs: Coordinates and arranges a location for get togethers for members interested in talking about the issues involved in being a working MOM.
Golden Girls: coordinates a luncheon once or twice a year for the members whose multiples are grown and on their own.
Swap/sell: Coordinates and arranges a ‘garage sale’ for the members and prospectives. Will advertise in local papers, our bulletin, and nearby chapters of MOMs clubs. This includes finding a location. Items to sell: organizes items that can be purchased or made to sell at SCMOTC conventions as a fundraiser for our club.
Head Reporter: Coordinates and matches reporters with people to call. Adds in new members as they join and redistributes members as necessary. Takes reporter calls and tracks RSVP for meetings. Gives final count to the 1st VP and make a list that is given to the Treasurer to track attendees. Initiates phone tree if need arises.
Reporters: Good way for newer members or members with limited time to be involved and of assistance to the club. They are assigned a group of members. Each month they contact their group of approximately 5 members to see if they are attending the general meeting, to pass along any reminders, and to just generally check in with their members to see how they are doing. It is important to speak to each of these members every month.
Roster: Maintains all the members classified information for club use only. Distributes information to big/little sister, email editor, newsletter circulation, and playgroups. Distributes updated rosters periodically, as well as providing the webmaster with an up-to-date roster for publishing on the website.
